Privacy Policy

This policy explains what personal information FocusPace collects, why it is collected, how it is protected, and the rights available to users.
Effective Date
This Privacy Policy is effective as of June 13, 2026. It explains how FocusPace ("we," "us," or "our") collects, uses, stores, shares, and protects personal information when you use FocusPace (the "App"), related websites, backend services, support channels, and optional connected features.
By using FocusPace, you agree to the practices described in this Policy. If you do not agree, please do not use the App.
1. Who We Are (Data Controller)
FocusPace is developed by Squaretail Studio. Email: contact@squaretailstudio.com.
For users in the European Economic Area (EEA) or UK, FocusPace is the data controller under the General Data Protection Regulation (GDPR).
2. Information We Collect
ACCOUNT AND IDENTITY Email address, password stored as a cryptographic hash, and the user identifier assigned when an account is created.
USER-GENERATED CONTENT Notes, pages, images, audio recordings, handwriting, scanned text, flashcards and scheduling metrics, tasks, plans, milestones, Focus Maps, mistake logs, focus-session records, Spark AI prompts, AI outputs you save, and Learning aggregates needed to provide requested AI features.
COLLABORATION DATA When you create or join a shared notebook, FocusPace records your own account email address, the role you hold, and your membership status. Your display name and profile photo are shared with the other members of notebooks you own or join, so that everyone can see who they are working with. Shared notebooks are joined through a share link or QR code rather than by entering another person's email address, and the notebook owner must approve a request before any content becomes visible to the person joining.
DEVICE AND USAGE DATA Device model, operating-system version, locale, app version, session and feature events, push-notification tokens, crash reports, stack traces, performance metrics, and Firebase-generated identifiers.
APP ACTIVITY Actions needed to operate the product, such as creating or editing notes, completing tasks, starting focus sessions, reviewing flashcards, changing settings, sharing workspaces, accepting invitations, and using search, sync, or library features.
SUPPORT AND COMMUNICATIONS Messages you send to support, waitlist or feedback form submissions, email delivery events, and information you choose to include when asking for help.
PAYMENT AND STORE INFORMATION FocusPace offers a paid Premium subscription and one-time AI credit packs. Purchases are processed by the Apple App Store or Google Play, and we use a third-party subscription-management provider to record and verify them. FocusPace never receives or stores your card or bank details. We do receive limited purchase status, subscription status, product identifier, renewal state, refund state, and store transaction references needed to unlock or manage paid access. We also store your AI credit balance, a record of each credit purchase, and a record of each AI action that spends credits, so that the app can show you your usage.
PERMISSIONS Camera access for document scanning, microphone access for voice notes and dictation, and notification access for reminders and focus alerts.
INFORMATION FROM CONNECTED SERVICES If you choose to sign in with a third-party provider or use an integrated feature, FocusPace may receive the account identifier, email address, display name, profile image, token, or feature-specific information needed to provide that connection. Sign-in providers may include Google and Apple.
INFERRED OR DERIVED INFORMATION We may generate limited operational information from your use of FocusPace, such as Learning streaks, focus statistics, reminder timing, revision priority, feature preferences, and coarse region inferred from network or store information.
3. How We Use Your Information
We use information to authenticate accounts, synchronize content, deliver requested notifications, maintain app stability, diagnose crashes, improve performance, support collaboration, provide optional library Learning support, provide optional Spark AI Learning insights, send transactional messages, send optional product updates with consent, comply with law, and enforce our Terms.
We also use information to prevent spam, fraud, abuse, security incidents, unauthorized access, and misuse of app features; to debug and repair errors; to localize the product; to understand which features are useful; and to maintain accurate subscription or entitlement status.
We may use aggregated or de-identified information to evaluate product quality, reliability, safety, performance, and roadmap decisions. Aggregated or de-identified information is not intended to identify you.
4. Legal Bases for Processing
For users in the EEA or UK, processing may rely on contract performance, legitimate interests in operating and improving the product, consent for optional marketing, and compliance with legal obligations.
FocusPace does not intentionally collect special-category data. Do not place health, biometric, political, religious, or similarly sensitive data in your notes unless you accept the risks of doing so.
5. Spark AI and Automated Suggestions
Spark AI is FocusPace's AI assistant. Spark may help detect what you are learning, generate recommendations, convert notes into flashcards or maps, summarize learning material, analyze mistake logs, suggest revision priorities, and create productivity insights.
FocusPace currently uses third-party services for AI-powered features. The information sent to AI services depends on the feature and may include the text, task, mistake, note, flashcard, or learning aggregate needed to generate the requested result.
AI outputs may be inaccurate, incomplete, or unsuitable for your situation. They are learning and productivity aids only, not professional, medical, legal, financial, safety, or academic guarantees.
FocusPace does not use AI outputs as the sole basis for decisions with legal or similarly significant effects. You can edit, ignore, delete, or override AI-generated suggestions in the app.
We do not use your content or third-party account data to train AI models unless we separately state that and obtain any required consent.
IN-APP SPARK CONTENT REPORTING Every Spark AI output surface — including Spark Insights, Task Spark, Mistake Spark, and the For You study recommendations — displays a flag icon you can tap to report content you believe is offensive, inaccurate, or inappropriate. You do not need to leave the app to submit a report. When you flag a Spark response, FocusPace collects the content type being reported, the reason you selected, an optional description you choose to provide, and a brief excerpt (up to 200 characters) of the flagged output for moderation context. Reports are stored with your account identifier and the timestamp of submission. We use this information to review flagged AI outputs, identify patterns of problematic responses, adjust content-generation parameters, and comply with platform requirements for in-app AI content moderation. Reports are not used to identify you personally or shared outside of FocusPace's content-moderation process.
6. Human Access to Your Saved Material
Your notes, flashcards, recordings, plans, and other saved learning material are not reviewed by FocusPace staff.
Limited access may occur when you ask for support and provide the information needed to investigate the issue, when automated systems process information to provide features you request, when required to protect security or prevent abuse, or when necessary to comply with law.
People who help operate FocusPace are expected to access personal information only for approved business purposes and only to the extent needed for their role.
7. Sharing Your Information
We do not sell personal information.
Service providers include third-party providers for analytics, stability, performance, notifications, authentication, cloud data, backend processing, optional Spark AI features, optional account sign-in, platform distribution, and purchases.
Service providers may process information only to help operate, secure, deliver, support, or improve FocusPace. We do not share personal information with third parties for their own advertising purposes.
Information may be disclosed when legally required, to protect rights and safety, to investigate suspected abuse or security incidents, to enforce our Terms, or as part of a merger, acquisition, financing, reorganization, or sale of business assets with appropriate notice where required.
8. Sharing and Collaboration Choices
When you invite someone to a shared notebook or workspace, that person may see the material you share and related details such as your email address, role, edits, comments, task status, timestamps, and other context needed for collaboration.
You control what you share and which role you assign. Removing access prevents future access through FocusPace, but it may not remove copies, screenshots, exports, or notes that another person already viewed or saved outside FocusPace.
Avoid sharing sensitive personal information unless you trust the recipient and understand the access level you are granting.
9. International Data Transfers
FocusPace is a global product. Personal data may be processed and stored in the United States through third-party infrastructure.
For users in the EEA, UK, or Switzerland, applicable safeguards may include the EU-US Data Privacy Framework and Standard Contractual Clauses.
10. Data Retention
Account data is retained until account deletion. User content controlled by FocusPace is scheduled for deletion or de-identification after account deletion unless limited retention is required for legal, security, fraud-prevention, dispute, tax, accounting, or backup reasons. Push tokens are removed on deletion or replacement. Firebase Analytics follows Google's configured retention period, and Crashlytics logs are generally retained for 90 days.
Support messages, billing or store records, security logs, and legal records may be retained for longer when needed to provide support, resolve disputes, prevent abuse, comply with law, or maintain financial and tax records.
Data subject to a legal hold may be kept longer. Aggregated statistics that cannot identify you may be retained for product improvement.
11. Account Deletion and Your Rights
You can request deletion of your FocusPace account from within the app where available or by emailing contact@squaretailstudio.com with the subject Privacy Request. Deleting the app from your device may remove local data from that device, but it does not automatically delete server-side account data unless you complete the account deletion process.
When you delete your account, FocusPace will attempt to revoke or invalidate app-controlled sessions and third-party tokens where technically possible. Backup copies and provider-side logs may take additional time to expire or be removed.
Depending on location, you may request access, correction, deletion, portability, restriction, or objection; withdraw marketing consent; and lodge a complaint with a regulator. Where portability applies, we will provide your content in a machine-readable format where technically feasible.
California residents may have rights to know, delete, and correct information and to non-discrimination. FocusPace does not sell information or share it for cross-context behavioral advertising. Similar rights may apply under Brazil's LGPD and other regional laws.
To exercise a privacy right, email contact@squaretailstudio.com with the subject "Privacy Request." We generally respond within 30 days and may need to verify identity.
12. Your Controls and Choices
You can edit or delete many notes, tasks, flashcards, focus records, reminders, and settings directly in the app.
You can disable device permissions such as camera, microphone, and notifications in your device settings. Some features may stop working if a required permission is disabled.
You can opt out of optional marketing emails by using the unsubscribe link where available or by contacting support. Essential account, security, legal, and service messages may still be sent.
You can manage app sessions by signing out on a device. If you believe your account has been accessed without permission, contact contact@squaretailstudio.com.
13. Children's Privacy
FocusPace is not directed to children under 13, or under 16 where that is the applicable digital-consent age. We do not knowingly collect information from children below the applicable age without valid consent.
Parents or guardians who believe a child submitted information without consent should contact contact@squaretailstudio.com. Upon verified notification, we will delete the relevant data and terminate the minor's account.
AI, analytics, and behavioral insights may be disabled or restricted for users identified as minors where required by law, platform policy, or provider terms.
14. Data Security
We use measures including cryptographic password hashing, TLS encryption in transit, provider-managed encryption at rest, and restricted production access.
Security safeguards may include access controls, audit practices, provider security controls, least-privilege access, environment separation, secret management, backups, monitoring, and incident-response procedures.
No security system is completely impenetrable. Where required, we will notify affected people and authorities of qualifying data breaches. Users remain responsible for account credentials and shared-device security.
15. Analytics, Cookies, and Tracking
FocusPace uses analytics to understand screen views, feature interactions, device characteristics, and session behavior. This data is associated with a Firebase-generated identifier rather than directly with an email address.
Firebase Crashlytics captures crash reports, stack traces, and device state at the time of a crash to help diagnose app stability issues. Crash logs are generally retained for 90 days.
FocusPace websites use essential cookies or similar local storage to operate the site, remember basic preferences, and protect forms from abuse. These are required for the site to function.
The FocusPace website also uses optional analytics and performance cookies (Firebase Analytics and Firebase Performance) to understand high-level site usage and improve the experience. These are off by default and load only after you accept them in the cookie banner; you can decline, and you may change your choice by clearing the site's cookies and storage in your browser.
FocusPace does not use third-party advertising networks, sell browsing activity, or use cross-site tracking for personalized ads.
Browser or device privacy settings may limit some analytics or storage technologies, but essential service features may still require limited technical storage.
16. Push Notifications
Cloud Messaging may deliver reminders and focus-session alerts. A device token is stored with account and platform information and may change when the app is reinstalled or reset.
Notifications can be disabled in device settings without disabling other app capabilities.
17. Third-Party Services
FocusPace may use third-party providers for authentication, cloud storage, sync, analytics, stability, AI features, platform distribution, purchases, and saved YouTube library references. Those providers process information under their own terms and privacy policies.
The FocusPace library may let you save YouTube video references with details such as a video link, title, and thumbnail. YouTube videos do not play in an embedded player inside FocusPace.
18. Legal Requests and Safety
We may preserve or disclose information if we believe it is reasonably necessary to comply with law, legal process, enforceable government requests, court orders, or regulatory obligations.
We may also preserve or disclose information to protect FocusPace, users, the public, or others from fraud, abuse, security threats, spam, harmful content, or violations of our Terms.
Where legally permitted and appropriate, we may try to notify affected users before disclosing account information in response to legal process.
19. Regional Disclosures
Users may have additional rights under GDPR or UK GDPR, CCPA or CPRA, COPPA, LGPD, PDPA, PIPEDA, and other applicable laws. FocusPace does not sell personal information or knowingly collect information from underage children.
For EEA and UK users, the legal bases for processing may include contract performance, consent, legitimate interests, and legal obligations. You may have the right to object to certain processing, request restriction, or contact your local data-protection authority.
For California residents, FocusPace does not sell personal information and does not share personal information for cross-context behavioral advertising as those terms are commonly used in California privacy law.
20. Changes to This Policy
We may update this Policy. Material changes will include an updated effective date and notice through the app or email at least 14 days before taking effect when required.
The English version of this Policy controls if a translated version creates a conflict, to the extent allowed by law.
